The right material can add goodwill and create a favourable impression, even before any negotiations begin. So, a good deal of attention needs to paid to obtaining good design and printing services.

Any printed material has two aspects; design and print. You need to research various options to find the most appropriate design, colours and layout, and in subsequently choosing a suitable designer and printer. Let's first focus on the designing aspect.

Graphic Designer
The greatest problem with graphic designers is that there is no real barrier to entry in this profession, and graphic designers, unlike other professions, are neither licensed nor certified. In effect, anybody can call himself/herself a graphic designer. This makes choosing one somewhat difficult. You may find a 'graphic designer' at really cheap rates but his/her capabilities will be unknown to you. Such a choice may lead to low quality output and, in some extreme cases, legal issues of plagiarism and violation of copyright. So, it's extremely important that you choose a person who has good credentials and previous client references.

Professional Graphic Designer
It's worth considering the money spent on a graphic designer not as just a 'cost' but also an 'investment'. A well designed visiting card or a sales letter should yield benefits in added kudos, and ultimately, sales. It may well be worthwhile, then, investing in an experienced designer; perhaps somebody that has been recommended to you, or whose work you are familiar with.

These professionals are totally engrossed in their job and will be experienced in producing similar work for many clients. They should already have a fair idea of what you may be expecting of them. They usually have a portfolio of previous design ideas that you may be able to use, with perhaps some adjustments, to create exactly the impression that you want to convey.

The next important decision is to choose between graphic design firms and freelancers.

Graphic Design Firms
There are many reputable graphic design firms in the market. These offer you stability and consequently a certain peace of mind. They also have a huge portfolio and have enough technical expertise in managing several different media. Since they will have a pool of experience from which to draw, they will most certainly provide more ready made options for you to choose from.

Moreover, having a larger team can be of benefit since more inputs from team members can lead to a greater proliferation of ideas during the conceptual stages. This intense interaction between the team members, should result in more possibilities which can then be refined.

However, there is a downside too. Your job might not receive personalised treatment and team work might actually work to your disadvantage. The individual team members may treat it as another routine job and instead of being avid participants, remain passive onlookers.

Freelancer Designers
You have another option in the form of freelancers. As discussed before, it is a minefield as it were. Before you choose anybody, go through the designer's portfolio and ask for a list of clients he/she has already served.

If you are lucky, you may chance upon a professional who already has a wealth of experience in large firms and has decided to set out on his/her own. If that's the case, you'll be doubly fortunate in getting the quality of a well established designer, at much reduced rates in comparison with a design company.

Printing
Let's now shift our focus to the other equally important area - printing. No matter how brilliant and innovative your design is, if the printing is not done properly, the desired impact will never be achieved.

In-house or Outsourcing
If your print job is a one-time black and white affair, you probably don't need to approach professional printers. Anything more important than this, especially if related to promotion and furthering the goodwill of your company, definitely merits the services of a professional printer.

When you are paying an outside agency for your printing job, you should consider the following:

Quality
It is almost redundant to state that quality is of paramount importance in a print job. If you find that your brochures are no more attractive than a budget flyer, your money has been completely wasted. If a printer has a large number of satisfied clients, then you should have less to worry about. Unless you are using a well known printing service, ask plenty of questions and try to visit the press to satisfy yourself about resources and infrastructure.

Price
This is an industry in which a lot of bargaining is possible. You may be able to reduce your costs considerably with some prudent negotiations. The costs will largely be based on the number of colours being printed, the type of paper to be used, and the print run volume. Lower print run volumes will be more expensive in relative terms than high volume print runs, as much of the printer's costs will be in the set up.

If the printer also supplies paper, details about the exact quality of the paper/board that you want used and the finishing (if any) to be carried out on your job must be clearly incorporated in the contract. Printers occasionally try to cut corners in this area and may be tempted to provide cheaper quality paper to reduce their costs. It is always worth comparing prices from different printers before finalising your order.

Conclusion
Your visiting card, letterhead or brochure works as a 'silent salesman'. So, it pays to devote a lot of time, energy and attention to the design and printing of these items. Well-produced, eye-catching material from you, should help to create a favourable impression, even before you do.
